Easy Home Networks (Pty) Ltd, trading as Motivation Genie ("we", "us", or "our"), is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA") and all other applicable South African data protection legislation.
This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you use the Motivation Genie platform ("Service"). By using our Service, you consent to the practices described in this policy.
2. Information We Collect
We collect only the information necessary to provide the Service. This includes:

- Full name
- Email address
- Password (stored in hashed form only)
2.2 Application Information
Information you provide to generate your motivation document, which may include:
- South African ID number
- Residential and postal addresses
- Contact details (telephone, mobile)
- Employment and occupation details
- Firearm details (type, calibre, intended use)
- SAPS precinct information
- Personal motivation and security circumstances
2.3 Payment Information
Payment transactions are processed by PayFast. We receive confirmation of payment status (successful or failed) and a transaction reference. We do not receive, process, or store your credit card numbers, bank account details, or other financial instrument information.
2.4 Technical Information
We may automatically collect basic technical data such as your IP address, browser type, and device information for security monitoring and Service improvement purposes.
3. How We Use Your Information
We use your personal information solely for the following purposes:
- aDocument generation: To create your personalised firearm licence motivation document.
- bAccount management: To create and maintain your user account.
- cPayment processing: To verify and confirm your payment through PayFast.
- dCommunication: To send transactional emails (account confirmation, password resets, payment receipts).
- eService improvement: To understand usage patterns and improve the platform (using aggregated, anonymised data only).
We will never use your personal information for unsolicited marketing, sell it to third parties, or use it for any purpose not described in this policy.
4. Legal Basis for Processing
Under POPIA, we process your personal information on the following lawful grounds:
- aConsent (Section 11(1)(a)): You provide explicit consent when you create an account and submit your information for document generation.
- bContractual necessity (Section 11(1)(b)): Processing is necessary to fulfil the service you have requested and paid for.
5. Data Sharing & Third Parties
We share your information only with the following third-party service providers, strictly for the purposes stated:
PayFast (Pty) Ltd
Purpose: Secure payment processing. PayFast is a POPIA-compliant, PCI-DSS certified South African payment gateway. Your payment data is processed directly by PayFast and is not stored on our servers.
Resend
Purpose: Transactional email delivery (account verification, password resets, payment confirmations). Only your email address and name are shared with Resend for this purpose.
We do not share, sell, trade, or otherwise transfer your personal information to any other third parties. We will only disclose information if required to do so by law or in response to a valid legal process (such as a court order or subpoena).
6. Data Retention
We retain your personal information only for as long as necessary to provide the Service:
- aActive accounts: Your data is retained for as long as your account remains active.
- bUser-initiated deletion: You may delete all your data at any time from your dashboard, or export a copy of all your data in machine-readable format (JSON). Deletion is permanent and irreversible.
- cInactive accounts: Accounts that have been inactive for 12 consecutive months may be automatically deleted after prior email notification.
- dCompleted applications: Application records associated with a completed (paid and generated) firearm licence motivation are retained for 2 years from the date of completion, after which they are scheduled for permanent deletion.
7. Your Rights Under POPIA
As a data subject under POPIA, you have the following rights:
Right of Access
You may request confirmation of whether we hold personal information about you, and request access to that information.
Right to Correction
You may request that we correct or update any inaccurate personal information we hold about you.
Right to Deletion
You may request the deletion of your personal information. You can also delete all your data directly from your dashboard at any time.
Right to Object
You may object to the processing of your personal information on reasonable grounds relating to your particular situation.
Right to Withdraw Consent
You may withdraw your consent to processing at any time. Note that withdrawing consent may affect our ability to provide the Service to you.

- 256-bit SSL/TLS encryption for all data transmitted between your browser and our servers.
- Passwords are stored using industry-standard one-way hashing (bcrypt) and are never stored in plain text.
- Access to personal information is restricted to authorised personnel on a need-to-know basis.

While we take all reasonable steps to protect your information, no method of electronic transmission or storage is 100% secure. In the unlikely event of a data breach, we will notify affected users and the Information Regulator as required by POPIA.

Our Service uses only essential cookies that are strictly necessary for the operation of the platform:
We do not use tracking cookies, analytics cookies, advertising cookies, or any third-party cookies. We do not engage in cross-site tracking.
11. Children's Privacy
Our Service is not intended for use by persons under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable legislation. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. We encourage you to review this policy periodically.
